Expression of Interest
Submitting an Expression of Interest (EOI) to hold a Session at the New England Garden Festival does not guarantee a presentation or workshop slot. Final programming decisions will be based on the number of EOIs received, scheduling capacity, and the level of interest from Festival attendees, including ticket sales for Sessions. The Festival team reserves the right to curate the final schedule to ensure a balanced and engaging program for Festival attendees.
Insurance
a. Business and Individual Presenters – At cost or free sessions
If you are delivering a free or at-cost Session (workshop or demonstration) as an individual, or representative or employee of a business, you must hold a Public Liability Insurance Policy with a minimum coverage of $20 million. A copy of the Certificate of Currency must be submitted with your application.
b. Individual Presenters - Free Sessions
If you do not hold a Public Liability Insurance Policy with a minimum coverage of $20 million you are required to become a Temporary Member of the New England Garden Festival (NEGF) Inc. for the duration of the Festival. A $5 membership fee will then apply and must be paid to satisfy legal requirements. You cannot do that via this form but you will need to complete the Temporary Membership Form HERE.
c. Individual Presenters - At cost Sessions
If you are charging a fee for your Session and do not hold the required Public Liability Insurance, you are not able to become a Temporary Member of the New England Garden Festival (NEGF) Inc. Garden Club and therefore, will not be covered by NEGF Inc.'s Public Liability Insurance.
Ticket Revenue Contribution
20% of all Session ticket fees will be donated to NEGF.
Electrical Safety Requirements
All electrical equipment and extension leads used on site must be tagged with a current and appropriate safety inspection tag; those not tagged contravene government safety regulations and will not be allowed on site.
Vehicle Access
No vehicles will be permitted within the Armidale Racecourse after 9:00 am on both Saturday and Sunday. Please arrange for all Session materials to be delivered before this time. Bump-in times will be confirmed upon acceptance of your session.
Camping Prohibited
Overnight camping is not permitted at the Armidale Racecourse. All participants must vacate the site by 6:00 pm daily.
Before your workshop/presentation
All Session Presenters must report to the Workshop Coordinator, or a designated volunteer, at their scheduled presentation venue at least 15 minutes prior to their presentation.
Waste-Free Festival Commitment
We are committed to being a waste-free Festival. Please minimise use of non-recyclable or non-compostable materials.
• All non-recyclable waste must be taken with you at the end of your session.
• For recycling, please flatten cardboard and place it neatly next to the designated bins.
